Information used by this website.
New appointments are booked through our online calendar, with payment processed by Stripe, as described below. Earlier booking-link enquiries may contain a name, email address, private or business status and country of residence or establishment. We retain these records to respond to outstanding enquiries and administer any resulting engagement. They also contain a request status, updates and account identifier. The hosting service supplies the signed-in account identifier and email used to control access. Earlier website appointment requests may also contain a chosen subject, date, time, meeting format, telephone number and acknowledgements.
If you call or email us, we use the contact details and information you provide to understand and respond to your enquiry. Please keep an initial enquiry brief. Do not send passports, medical records or other sensitive documents through the booking form.
Callback requests.
When you use the callback form, we use your name, company or organisation if supplied, email address, telephone number and optional message to respond to your enquiry. We save your request in a private follow-up overview and use our email delivery provider, Resend, to notify our team at info@theimmigrationlawyer.nl and send you an acknowledgement. The acknowledgement contains a reference and the next step; it does not repeat your submitted message. Replies to the acknowledgement go to our general contact address. Please do not include confidential case information or documents.
The authorised manager can record requests received by telephone or email in the same overview. Records include the contact details, source, responsible person, follow-up status and brief internal notes. Access is limited to the authorised manager. A request marked completed is retained only while needed under the retention arrangements below; completion does not automatically erase it. The manager can delete completed records when they are no longer needed. Copies in email systems are managed separately.
We keep email sending statuses and provider references to identify messages that need attention. Acceptance by the sending service does not by itself confirm delivery to your mail server. Short-lived technical records also prevent duplicate submissions and abuse; these contain a request reference and protected fingerprints. Technical anti-duplication records more than seven days old are removed when the form next processes a request. We do not add open or click tracking to these emails. Why we use it.
We use enquiry and appointment details to respond, arrange a consultation and take steps at your request before entering an agreement, and to perform an agreement where one is made. Access controls, operational records and abuse prevention support our legitimate interest in running a reliable service. Information required for legal obligations is processed on that basis.
Required booking fields allow us to contact you and arrange your consultation. You can also call or email us about booking arrangements. The website does not make automated decisions about your eligibility for immigration or legal services.
Access and service providers.
You can view earlier website requests associated with your signed-in account. The authorised appointment administrator can view and manage these earlier appointment and booking-link enquiries. You can manage new appointments through the links in your booking emails. Website hosting, authentication and database providers process information needed to operate the service. This version uses OpenAI Sites hosting and Cloudflare infrastructure.
Our providers may operate internationally. Information about the arrangements relevant to your data, including any applicable international-transfer safeguards, can be requested from our privacy contact. Links to other websites take you to services with their own privacy notices.
Scheduling and payments.
Our online booking service displays availability and lets you arrange consultations through this website. The embedded calendar loads when you choose a booking link to the calendar or select “Choose a time”. There is no preliminary client-type or VAT questionnaire. Until then, the third-party booking service is not loaded. You can also contact us by phone or email for help with booking.
When you use the calendar, our scheduling provider processes the booking information you enter, including your name, email, selected date, time zone and meeting format, along with technical information needed to operate its service. Stripe processes the payment and the payment details you supply. Card details are provided to Stripe, not stored in this website’s appointment database. We use booking and payment-status information to administer your package. For business invoices, we use the company name, billing address, VAT number where applicable, and booking reference supplied after booking. These details allow us to prepare the invoice and apply the appropriate VAT treatment; they do not change the fixed package total.
Please do not enter sensitive case facts or upload case documents through the booking form. Scheduling and payment are separate from the client portal and its document functions. Read the scheduling provider’s privacy notice and Stripe privacy notice for their processing information. International processing and any applicable safeguards are described by those providers; you can also contact us about the arrangements for your data.
Retention.
We retain enquiry and appointment information for as long as it is needed to handle your request, administer any resulting engagement, meet legal obligations or address a dispute. The relevant period depends on whether an engagement follows and which obligations apply. Cancelling an appointment changes its status; it does not automatically delete the record. You can ask us to review whether your data is still needed.
Your choices and rights.
You may ask for access to, correction of or deletion of your personal data. Where applicable, you may also request restriction of processing or data portability, or object to processing based on legitimate interests. If a particular use relies on consent, you may withdraw it. These rights are subject to the conditions in data-protection law. Email our privacy contact; we may need to verify your identity before responding.
You can also complain to the Dutch Data Protection Authority or your relevant supervisory authority.
Cookies and device storage.
The website remembers your motion preference in local storage. Its own page code does not add advertising or analytics trackers. The hosting and sign-in services may use necessary cookies or similar technologies to operate access and security. Local fonts and website artwork are served with the site. When you open the calendar, the scheduling and payment providers may use their own cookies or similar technologies. See the scheduling section above and their privacy notices.
The client platform.
The Platform is available to selected clients in a secure, private environment, with access arranged individually. Contact us for information about the data-processing arrangements relevant to your platform access and matter, including providers, access, retention and any applicable transfer safeguards. Consultation booking and payments processed by Stripe are available separately through the advice package page; platform access is not required to book.
